Guidelines your moderators can actually enforce

A rule that two moderators would apply differently isn't finished yet, so this lesson is about making guidelines specific enough to act on.

Community Management 101 covers writing guidelines that members will actually read. This lesson looks at the same document from the other side of the report queue. When a report comes in at eleven at night, the moderator on duty has to decide quickly whether a post breaks a rule. Vague rules turn that decision into a coin toss, and members notice when the coin lands differently for different people.

Specific, enforceable, explained

The test I use for every rule: could two moderators who have never met read it and make the same call on the same post? If not, it needs work. Good rules describe behaviour you can point to, not attitudes you have to guess at.

A before and after

  • Before: "Be respectful."
  • After: "Disagree with ideas, not people. No name-calling and no comments about someone's appearance, background or intelligence."

Everyone agrees with the first version and nobody can enforce it. The second still leaves room for judgement, but it gives the moderator something concrete to quote.

Keep the list short

Moderators can't apply twenty rules consistently, and members won't remember them. Aim for five to eight, each with one sentence of explanation and, where it helps, one example of what crosses the line. Long-form detail belongs in a separate moderator handbook.

Quote the rule every time

When you act on a report, quote the guideline in your message to the member, word for word. It shows the decision came from a shared rule rather than your mood, and over time it teaches the whole community what the rules actually mean.

Exercise: take the vaguest rule in your current guidelines and rewrite it using the before-and-after pattern. Then ask another moderator to apply both versions to three real reports from last month and compare your calls. The slides attached to this lesson have more examples.
