How a Leeds Community Hall Cut No-Shows by a Third

How a volunteer-run community hall cut missed room bookings by about a third with reminders, a cancellation window and a waitlist.

We spoke to the bookings volunteer at a community hall in Leeds that hosts everything from toddler groups to a Thursday night choir. When they moved to Tidewell, about one in five room bookings ended with nobody turning up. Here's what they changed.

The problem

Regular hirers booked rooms months ahead "just in case" and forgot to cancel. Meanwhile new groups were told the hall was full. "We were turning away people who wanted to use the place while rooms sat dark," the volunteer told us.

What they changed

  • Reminders three days before each booking, with a one-tap cancel link. Most cancellations now come from that message.
  • A 48-hour cancellation window. Hirers who cancel late twice in a term have to confirm each booking a week ahead.
  • A waitlist for popular slots. When a room is freed, the first group on the list gets a message and a few hours to accept.

The result

Over the autumn term, no-shows fell from around 20% of bookings to about 13%, roughly a third fewer. Three new groups got regular slots that used to sit empty, including a Saturday morning repair session.

Their advice to other venues: "Start with reminders. Don't add rules until you've seen what reminders alone do." We couldn't have put it better.
