Setting up equipment booking for a makerspace: a starter guide
Most makerspaces come to us with the same question: where do we start? You have dozens of tools, a handful that actually get fought over, and members who just want to know whether the laser cutter is free on Thursday. Here's the order we recommend.
1. Start with the tools people queue for
Don't put every screwdriver into the system. Begin with the three to five machines that cause arguments, usually the laser cutter, the 3D printers, the CNC router and maybe the kiln. Everything else can stay first come, first served.
2. Pick a slot length that matches real jobs
Thirty-minute slots work for laser cutting. 3D printers need longer blocks, or a booking with a start time and an estimated duration. Look at a month of your old logbook before you choose.
3. Add inductions before you add rules
Link each machine to the induction members must complete first. It's the single setting that prevents most problems, and it gives your hosts a clear answer when someone asks why they can't book.
4. Tell members, then wait a month
Resist the urge to tweak everything in week one. Collect feedback for a month, then adjust slot lengths and limits in one go. Members cope with one change much better than with five.
