Setting Up Term Bookings for Weekly Groups
Community halls run on regulars: the Tuesday yoga class, the Thursday choir, the Saturday toddler group. Booking them one week at a time is tedious for everyone involved, so here's how to set them up as a series instead.
Book the whole term at once
Create the first session, choose "repeats weekly" and set an end date, usually the last week of term. Tidewell checks every date in the series for clashes before saving and lists any conflicts, so you can move one week now rather than discover a double booking halfway through the term.
Skip closures without breaking the series
Add your closure dates once, such as bank holidays or the week the hall floor is being sanded, and every repeating booking skips them automatically. Hirers see the gaps in their own calendar, so nobody turns up to a locked door.
One invoice per term
Regular hirers can pay for the whole series in one go, or monthly if that suits their budget better. Treasurers tell us this one setting saves them more invoicing time than anything else we offer.
When a week isn't needed
A hirer can release a single session without touching the rest of the series. The slot goes back on the public calendar straight away, and you decide whether released sessions are refunded or credited towards next term.
